The Opportunity

As a key trusted partner of the CEO, this role is responsible for providing administrative support for the Management Board and supporting the CEO with managing day-to-day operations. This role is also responsible for some key elements of facilities management including managing supplier contracts and administering all aspects of our office building.

This role requires a dynamic professional who can handle a wide range of administrative, executive support, and facilities management responsibilities with discretion and efficiency.

Key Duties & Responsibilities

Executive Support

  • Serve as a trusted partner and first point of contact for the CEO internally and externally
  • Manage the CEO’s calendar including scheduling meetings, and coordinating travel arrangements
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Draft and edit communications, reports, presentations, and proposals on behalf of the CEO
  • Coordinate and track progress on key projects and strategic initiatives
  • Conduct research and compile information to support executive decision-making
  • Organise and coordinate executive meetings, including agenda preparation and minutes
  • Handle confidential information with a high level of discretion

People and Culture

  • Administrative support for the Head of People and the HR system
  • Organise and oversee internal events and meetings, including room setup, catering, and technical support

Facilities Management

  • Supplier and Service Contracts: Manage contracts and relationships with suppliers, service providers, and contractors, ensuring efficient service delivery.
  • Office Building Management: Oversee the day-to-day management of our office building, including maintenance, security, and access control.
  • Facilities Management: Coordinate and manage office space, equipment, and facilities, optimising space utilisation and functionality
  • Budget Management: Assist in the development and management of the facilities budget, ensuring cost-effective solutions

Qualifications

  • Proven experience as an Executive Assistant, or similar role
  • Excellent organisational and time management skills
  • Budget management experience
  • Strong written and verbal communication skills
  • High level of integrity and ability to handle confidential information
  • Ability to multitask and prioritise work in a fast-paced environment

General Duties & Responsibilities

  • To maintain confidentiality at all times and to comply with the Company policy on handling confidential/ sensitive data, thus ensuring security in the management and use of information.
  • To contribute to close working relationships with all personnel and to help to build an open and honest culture that facilitates learning, creativity and excellence.
  • To be courteous and professional to customers and stakeholders of RSL treating them with care and consideration at all times.
  • To undertake any other duties at the request of the line manager which are commensurate with the role including project work and absence cover.
  • To comply with the policies and procedures of the Company at all times.
  • To undertake training as necessary in line with development of the post.
  • To participate fully in the performance management process and undertake Continuing Professional Development as required.
  • To achieve and demonstrate agreed standards of personal and professional development within agreed timescales.
  • To ensure compliance with the Data Protection Act, 2018.

The Offer

  • £35,000 – £40,000 per annum (full-time)
  • 25 days annual leave plus bank holiday, increasing annually to 30 days after 5 years’ service
